Privacy notice webinars/white papers/software

Interuniversitair Micro-Electronica Centrum vzw (hereinafter ‘IMEC’), Kapeldreef 75, 3001 LEUVEN, is responsible for the processing of your personal data.

This document contains information about how we process your personal data to provide you with certain services, such as white papers, events, webinars, etc. We value your privacy and process your personal information in accordance with the GDPR and local privacy legislation.

What personal data and why

We collect your personal data, including contact information, professional information, dietary preferences/restrictions for the following purposes:

  • To provide you with the service(s) (e.g. to send the requested white paper, to register you for the event, to contact you in relation to the event/webinar, etc.);
  • To send communications about IMEC breakthroughs and developments, events, white papers, webinars, etc. which we think are relevant to your interests;
  • To contact you regarding potential interesting business opportunities.
  • To send you the sofware you requested, and if needed, to contact you about this software.

We only collect personal data necessary to provide you with the service and rely on legitimate interest for these processing activities.

If you do not wish to be contacted about interesting events or concerning business opportunities, you have the possibility to opt out for these emails in the respective communications.

Photography and video recording

At our events group or individual candid photographs or video recordings can be taken. These photographs and video images may be published in various media, such as social media, magazines, newspapers, etc. imec relies on the legitimate interest basis (i.e. promotion of the event, capturing the setting) for collecting, storing and processing this data. If you wish photographs and video recordings of yourself to be removed from our website, social networks and archive, please contact the organization of the event.

With whom do we share your personal data?

The personal data that you provide us upon registering for communication purposes regarding IMEC breakthroughs and developments, an event, a webinar or downloading a white paper will be stored in our CRM system Eloqua. We also can share your personal data with certain third parties, depending on the type of service(s) provided for an event

  • your personal data can be shared with service providers such as catering services, print service providers, etc.  
  • your personal data is shared with Mailchimp for communication purposes linked to the event, a service provider located in the US.  
  • Photographs or video recordings at an event are stored on Flickr, a service provider located in the US.
  • Your contact information can be shared with partners of the event for their purpose of sending you marketing communications. If you do not wish your personal data to be shared with partners of the event, please contact the organization of the event.  
  • Your contact information can be shared with the other participants to the event but only if you have agreed to this.

We only transfer your personal data to third parties outside the European Economic Area (EEA) when this is necessary to provide our services. Third parties are always screened to ensure they handle personal information properly and necessary safeguards are in place to ensure compliance with the GDPR.

Storage and retention

Imec has appropriate technical and organizational measures in place which are incorporated in security policies to keep your data safe.

Your personal data will be kept for as long as it is reasonably necessary for the purposes for which we are collecting your personal data, but no longer than 4 years after last registered activity (such as open mail, request documentation, etc.), except for photographs or video recordings which are distributed online.

Your rights

You can access, rectify or ask to delete your data that imec has collected for the purpose of this event, as prescribed by the GDPR. Simply send an email to website@imec.be  to exercise your rights.
