Management Assistant - ICT

Supporting the Chief Financial Officer & Vice President of ICT and their respective (management) teams to get things done in an efficient way.

The assignment

In this job, you will report to the Vice President of ICT. Your responsibilities are, amongst others: 

  • Support the Chief Financial Officer & the ICT Management Teams with planning & admin tasks, organization of certain meetings and alignment with other management Assistants for meetings with other VP's, overall logistics.
  • Organizing team events, practicalities & logistics, collecting offers.
  • Assist in logistics around the onboarding process of new team members.
  • Purchase Requisition creation process - avoid mistakes - support procurement.
  • Correspondence & communication with external partners.
  • Organize support with social events (wedding, birth, illness, goodbye...).
  • Other logistics (e.g. office supplies).
  • Travel logistics.
  • Support Staff meetings, follow-up of open actions. 
  • Assist in preparing presentations or other documents.
  • Act as back-up for the Executive Assistant.

Required knowledge and skills

  • You get energy from supporting others and taking planning and organizational tasks out of their hands.

  • You thrive when you can multi-task and you can handle the stress that can come with this. 
  • You have a positive, no-nonsense mindset and enjoy improving existing ways of working. 
  • You can prioritize your work, are assertive in a diplomatic way and can work autonomously. 
  • You can connect well with others and can easily build a relation of trust. 
  • You have excellent communication skills in Dutch and English. 
  • You have a good knowledge of Microsoft office (Outlook/Word/ PowerPoint/Excel), SharePoint, One Drive, Teams and are interested in constantly improving your skills in this regard.

Location

We provide the flexibility to work both from our office premises and remotely from home. This to maintain a healthy work-life balance while being an integral part of our team. An onsite presence of 3 days a week is required. It's not possible to work 100% remote.
